    Official documents must include an original signature or seal; photocopies or documents without these features do not qualify. Authentication is impossible until a document’s seal or signature can be verified. Documents with glue or laminate covers are not acceptable for apostille stamping. Documents containing a protective covering that prevents stamping cannot be apostilled.

    Documents issued by religious institutions, such as baptism or marriage certificates, are not eligible for apostille processing. Global Affairs Canada only issues apostilles for Canadian-issued documents; foreign-issued documents are not accepted. Documents from educational institutions without official recognition cannot be apostilled.

    Global Affairs Canada may refuse to affix an apostille to documents if there are suspicions about authenticity or if the document’s intended purpose is considered fraudulent or unlawful, with the possibility of reporting to the appropriate authorities.

    Is Translation Required Before You Can Begin the Apostille Process?

    If any portion or the entirety of your document is composed in a language other than English or French, you might require an official translation from a certified translator who belongs to a recognized provincial translators’ association.

    You could also collaborate with a Canadian notary who is proficient in English or French, in addition to the language of the original document. In this instance, the notary will include a specific endorsement verifying the contents of the document.

    Does an Apostille Confirm Document Content? An apostille is a certificate that authenticates the authority of the signer and the issuing organization but does not verify the document’s content.

    An apostille is necessary solely for countries that are members of the Hague Apostille Convention. The authentication or legalization process remains necessary for non-member countries when using a document.

    In Canada, the provinces of Alberta, British Columbia, Ontario, Quebec, and Saskatchewan are recognized as competent authorities for the issuance of apostilles.
