What is the Impact of the Apostille Convention on the Authentication Services for Canadian Documents?

The embassy of Mexico in Ottawa provides a wide array of consular services to support Mexican nationals residing in Canada and foreign nationals intending to visit, work, or reside in Mexico. The embassy of Mexico in Canada offers assistance to Mexican citizens with immigration paperwork, official documentation, and legal matters. Citizens in Canada and foreign nationals can access visa application processing and obtain guidance on fulfilling Mexico’s travel documents and residency requirements.

On January 11, 2024, Canada officially joined the Hague Apostille Convention, streamlining the document authentication process for use in other member nations. Canadian public documents, including birth certificates, marriage certificates, and diplomas issued by Canadian institutions, are no longer required to be legalized by the Mexican Embassy and consulates. These documents can be authenticated with an apostille certificate issued by designated Canadian authorities, rendering them valid for use in Mexico and other signatory countries.

I am very impressed with the fast and professional service I received from LSC Canada. I needed to notarize and obtain an Apostille for the POA document to be used in Serbia. And even though I live in Vancouver, and the LSC Canada is headquartered in Ottawa, the phone and email correspondence was excellent and enabled me to obtain the Apostille much faster than if I tried to do it myself. Their efficient service saved me weeks of wait time. I highly recommend Adil and his team at LSC for all your document notarization, authentication, and Apostille needs. Frequently Asked Questions

Why Might a Canadian Document Not Qualify for Apostille for Use in Mexico?

Authentication is only possible for documents that have the original signature or seal. Apostilles cannot be granted for photocopies or documents failing to meet the abovementioned conditions. Global Affairs Canada will cease the authentication process if the seal or signature on the document cannot be verified.

Documents with laminated or glued surfaces are not eligible for stamping or apostilling. Documents containing chemicals that obstruct stamping are not eligible for apostille.

Certificates from religious institutions, including baptismal and marriage certificates, do not qualify for official document services or apostille certification. Only documents issued in Canada are acceptable. Authentication or apostille services are not available for foreign documents. A certificate number cannot be assigned to an apostille for documents originating from entities that are not formally authorized.

If Global Affairs Canada has reason to believe that a document may be used fraudulently or violates policies, it reserves the right to deny the validation of an apostille and refer the matter to the relevant authorities.

Do You Need to Notarize Canadian Documents Before Getting an Apostille?

Certain documents, including those issued by the Government of Canada, must be notarized by a notary public before an appropriate government authority can authenticate them. The province or territory where your document is notarized determines the appropriate authority that issues apostilles.

Streamlining the authentication and apostille process can significantly reduce the time required for your document to be used in Mexico. Our team offers notarization services to streamline the process of engaging with official notaries.

Do Documents Need Translation Before Authentication and Apostille for Mexico?

Documents composed in languages apart from English or French must be translated by a qualified translator from a recognized provincial translators association.

Another option is to engage a Canadian notary public proficient in English, French, and the document’s original language. The notary must furnish a specific certification endorsement to confirm that the translation complies with authentication and apostille standards.

The optimal approach for verifying documents in a foreign language is determined individually for each situation. Our team ensures that your documents meet all apostille requirements and are completely ready for use in Mexico.

How Long Does It Take to Authenticate and Apostille Canadian Documents for Mexico?

As of late September 2024, the authentication branch of Global Affairs Canada is processing apostille requests within a timeframe of 10 working days. Kindly anticipate an extra five business days for the return shipment of your documents.

Important Factors When Getting Canadian Documents Apostilled for Mexico

The cost of apostille services varies based on the document type and the location of issuance. Contact our specialists for the latest pricing information and to obtain a request form. We focus on the authentication of documents designated for use in Mexico, ensuring compliance with all relevant regulations.

Does an apostille confirm the content of the document? An apostille certificate does not verify the information contained within a document. It truly confirms the signer’s authority and reinforces the legitimacy of the issuing authority, ensuring its acceptance in Mexico.

An apostille certificate is necessary for countries that belong to the Hague Apostille Convention, including Mexico. Non-member countries continue to depend on traditional authentication and legalization methods, and documents must be legalized.

In Canada, the provinces of Alberta, British Columbia, Ontario, Quebec, and Saskatchewan possess the authority to issue apostille certificates.
