Portugal Embassy in Ottawa, Canada: Apostille and Authentication Services for Use in Portugal

On January 11, 2024, Canada officially joined the Hague Apostille Convention to streamline the authentication and legalization of documents from Portugal.

Colorful buildings line the waterfront in a European city, with boats floating on the blue river and a clear, sunny sky above. People walk along the promenade beside cafes and shops.

What Impact Does the Apostille Convention Have on Canadian Document Authentication Services?

The embassy of Portugal in Ottawa offers a comprehensive range of consular services to assist Portuguese citizens living in Canada and foreign nationals who wish to visit, work, or live in Portugal. The embassy of Portugal in Canada supports its citizens regarding immigration forms, official documents, and legal issues. Individuals in Canada and foreigners can access Schengen visa application processing and receive assistance with meeting Portugal’s travel document and residency requirements.

On January 11, 2024, Canada formally joined the Hague Apostille Convention, which streamlines the document authentication procedure for use in other member countries. Canadian public documents, such as marriage certificates, birth certificates, and diplomas issued by Canadian institutions, no longer need to be legalized by the Portuguese Embassy or consulate. These documents can be validated with an apostille certificate issued by authorized Canadian authorities, making them legal for use in Portugal and other signatory nations.

I am very impressed with the fast and professional service I received from LSC Canada. I needed to notarize and obtain an Apostille for the POA document to be used in Serbia. And even though I live in Vancouver, and the LSC Canada is headquartered in Ottawa, the phone and email correspondence was excellent and enabled me to obtain the Apostille much faster than if I tried to do it myself. Frequently Asked Questions

Why Might a Canadian Document Not Qualify for Apostille for Use in Portugal?

Authentication can only be performed on documents bearing the original signature or seal. Apostilles will not be provided for photocopies or documents that do not meet the standards listed above. Global Affairs Canada will stop the authentication process if the document’s seal or signature cannot be validated.

Documents having laminated or glued surfaces do not meet the requirements for stamping or apostille. Documents that contain substances that prevent stamping are ineligible for apostille.

Certificates issued by religious institutions, such as baptismal and marriage certificates, are not eligible for official document services or apostille verification. Only documentation issued in Canada will be considered acceptable. Services for authentication and apostille of foreign documents are presently unavailable. An apostille for documents issued by entities without official authorization cannot be granted a certificate number.

Global Affairs Canada holds the authority to refuse the validation of an apostille and to report any issues to the relevant authorities if there are grounds to believe that a document may be used for fraudulent purposes or violates established policies.

Do You Need to Notarize Canadian Documents Before Getting an Apostille?

Certain documents, including those issued by the Government of Canada, must be notarized by a notary public before the relevant government authority can authenticate them. The province or territory where your document is notarized determines the appropriate authority responsible for issuing apostilles.

Improving the authentication and apostille process can significantly reduce the time required for your document to be used in Portugal. Our team offers notarization services to improve the effectiveness of engagements with official notaries.

Do Documents Need Translation Before Authentication and Apostille for Portugal?

Documents written in languages other than English or French must be translated by a certified translator from an accredited provincial translators association.

Another alternative is hiring a Canadian notary public who is fluent in English and French and familiar with the document’s original language. The notary must offer a certification endorsement to indicate that the translation meets authentication and apostille requirements.

The best method for validating documents in a foreign language is determined for every case. Our expert team ensures that your documents comply with all apostille regulations and are suitable for use in Portugal.

How Long Does It Take to Authenticate and Apostille Canadian Documents for Portugal?

As of late September 2024, Global Affairs Canada’s authentication branch is processing apostille requests within 10 working days. Please add five business days for the return shipment of your papers.

The Hague Apostille Convention authorizes provincial authorities to certify documents issued in Canada beginning January 11, 2024. Processing times may vary according to the provincial office.

The Legalization Service Centre (LSC) recognizes the need to obtain apostilled documents promptly for use in Portugal. Using our knowledge and partnerships, we improve process efficiency, as demonstrated by our successful acquisition of an apostille certificate in a single working day.

Important Factors When Getting Canadian Documents Apostilled for Portugal

The cost of apostille services varies depending on the document type and the issuance location. We invite you to contact our specialists for the latest pricing information and to obtain a form. We focus on the authentication of documents meant for use in Portugal, ensuring compliance with all relevant regulations.

Does an apostille confirm the content of the document? An apostille certificate does not authenticate the information contained within a document. This validates the signer’s authority and enhances the credibility of the issuing authority, ensuring its recognition in Portugal.

An apostille certificate is necessary for countries that are members of the Hague Apostille Convention, such as Portugal. Countries that are not members continue to depend on traditional authentication and legalization processes, which require the legalization of documents.

In Canada, the provinces of Alberta, British Columbia, Ontario, Quebec, and Saskatchewan can issue apostille certificates.
